Say you want to build a booking system. Boiled down, the trade-off could come down to a few variables: money, time, data security, and room to grow.
If your budget is tight, you need it fast, and what customers submit isn't sensitive — honestly, you don't need us yet. A Google Form will get you running today, for free.
But if what customers are submitting is sensitive — ID numbers, medical history, card details — security outweighs "cheap and fast." That data sits on someone else's cloud, and you can't control who has access or whether it meets compliance requirements. Even at low volume, that's a case for owning the system from day one.
For a plain name-and-phone booking, though — when should you come back to us? Once your bookings grow to a point where the Google Form can't keep up, and customers keep telling you "this is really inconvenient" — that's when a custom build actually pays for itself.
There's another case worth planning for early: if you can already see yourself needingLINE notifications, payments, or a loyalty program down the line, a Google Form hits a wall there and you end up rebuilding from scratch. A custom system leaves room to grow from day one — adding a new feature later is just "adding a module," not a rebuild.
